Is collaboration tech procured without the end-users in mind?

Is new technology too complex? Do you always look for shortcuts in systems? Would you rather have stuck with the previous system? If you’re nodding your head to any of those questions, you are not alone.

Results of a new survey reveal that there is a gap between the reality of end-users and the perception of decision-makers. The survey of nearly 200 senior IT staff in architecture, engineering and construction by Ideagen shows that, while these decision-makers deem their collaboration solutions satisfactory, the end-users have a less positive experience with solution functionalities.

The survey establishes that security is the highest priority for respondents. However, the lack of focus on end-user needs and engagement means that staff resort to workarounds and rule-bending, which in turn threatens security.

According to the senior IT decision-makers surveyed:

  • there are too many different solutions for sharing information;
  • the approaches for storing/sharing information are inconsistent; and
  • end-users find it difficult to locate the documents and data needed.

Indeed, two-thirds of the respondents agreed that end-users ignore IT best practices or bend IT rules to achieve greater productivity. A similar number agreed it is challenging to get useful feedback from end-users on new software.

Senior IT respondents are also concerned about data storage and user access. Challenges around data location and security were identified, while the report reveals that end-users face difficulties in locating documents and project information – both of which are critical to project success [see chart below].

Find the harmony

Stuart Rowe, senior vice-president of collaboration at Ideagen, said: “Architecture, engineering and construction organisations face a storm of threats that constantly put their operations at risk. IT decision-makers are at the forefront of software solution implementations, managing the balancing act that is protecting the organisation and ensuring the solutions are fit for purpose.

“Finding harmony between security and productivity can catapult organisations ahead of their competitors, but understanding this connection between security and the day-to-day reality of the end-user is vital in finding that harmony.”
